1. Our Philosophy on AI
At RentFAX, we use Artificial Intelligence (AI) and automated systems as tools to support human judgment, not replace it. Our commitment is to use these technologies responsibly, transparently, and fairly. This document provides a high-level overview of how and why we use AI.
2. What We Mean by “AI”

RentFAX uses AI exclusively for decision-support. Our systems do not make automated final decisions about individuals. All rental, pricing, access, or eligibility decisions remain the sole responsibility of our users.
Common AI-assisted uses include:
- Pattern Recognition: Identifying recurring, documented behaviors (e.g., repeated property damage incidents across multiple rentals).
- Anomaly Detection: Flagging inconsistent or unusual data that may indicate fraud, misuse, or data-entry errors.
- Risk Signal Generation: Producing non-deterministic, informational indicators based on combinations of documented factors. These signals do not independently determine outcomes and are not used in isolation.
4. What Our AI Does Not Do
Our AI systems are explicitly designed not to:
- Make Automated Final Decisions: RentFAX does not approve, deny, or enforce rental outcomes.
- Use Protected Characteristics: Our systems do not use race, ethnicity, gender, religion, disability status, sexual orientation, or other legally protected attributes.
- Perform Biometric or Surveillance Analysis: We do not use facial recognition, voice analysis, behavioral surveillance, or covert tracking technologies.
- Operate as a “Black Box”: Outputs are tied to documented data points and are designed to be explainable at a high level.
5. Fairness and Bias Mitigation
We recognize that automated systems can reflect existing biases. To mitigate this risk, RentFAX applies a layered approach:
- Data Governance: Exclusion of protected and demographic attributes from AI analysis.
- Behavior-Based Focus: Emphasis on documented, rental-related events rather than personal identity traits.
- Human Oversight: AI outputs are reviewed and contextualized by human users.
- Internal Reviews: Periodic internal evaluations of model behavior and outputs to identify potential bias patterns.
6. Human Judgment Remains Essential
RentFAX’s AI tools are designed to augment professional judgment, not replace it. Users are responsible for evaluating context, complying with applicable laws, and applying their own fair and consistent decision-making standards.
7. Your Rights
Individual rights related to data access, correction, and disputes are described in our Privacy Policy and Renter Rights & Transparency Policy. Where applicable, individuals may request review of AI-assisted processing involving their data.
8. Ongoing Improvement
AI technologies and regulations continue to evolve. RentFAX periodically reviews and updates its systems, safeguards, and disclosures to align with emerging best practices and legal expectations.
