Data Accuracy & Correction Policy

1. Commitment to Data Integrity

RentFAX aims to provide a platform that reflects rental-related information with a high degree of integrity. This policy outlines our commitment to accuracy and the processes available for correcting verifiable factual errors.

While we strive for accuracy, much of the information on our platform is submitted by third-party users. RentFAX acts as a facilitator of this information, not its original author or primary fact-checker.

2. User Responsibility for Accuracy

Reporting Parties (e.g., landlords, rental operators) are solely responsible for the accuracy, completeness, and good faith of the information they submit to the Services. Our Terms of Service prohibit the submission of knowingly false, malicious, or misleading information.

Renters or Subjects of Reports are encouraged to review information associated with them and report any potential inaccuracies through the appropriate channels.

3. Scope of This Policy

This policy covers corrections for objective, verifiable factual errors. Examples include:

  • Typographical errors (e.g., incorrect name spelling, license plate number).
  • Incorrect dates or monetary amounts.
  • Misattribution of an event or record to the wrong individual.

This policy does not cover disagreements over subjective assessments, legal culpability, or the interpretation of events, which should be handled through the Dispute Process.

4. How to Request a Correction

To request a correction of a verifiable factual error, users must submit a request to support@rentfax.io with the following information:

  1. Specific Information to be Corrected: Clearly identify the record, date, and the specific data point you believe is inaccurate.
  2. The Correct Information: State the information that should appear in its place.
  3. Supporting Evidence: Provide clear, credible documentation that supports your claim (e.g., a copy of a corrected invoice, a court filing, a payment receipt). The burden of proof rests with the requestor.

Requests that are incomplete or lack sufficient evidence may be delayed or denied.

5. Review and Correction Process

Upon receiving a valid correction request:

  • RentFAX will review the provided evidence.
  • We may, but are not obligated to, notify the original reporting party to confirm the error.
  • If the error is confirmed, RentFAX will take reasonable steps to correct the data in our systems.
  • The correction may result in updating the record or, in some cases, annotating it to reflect the corrected information.

6. Limitations of Correction

A correction does not guarantee that the underlying record will be deleted. For legal and data integrity purposes, an audit trail of the original information, the correction request, and the change may be retained.

RentFAX will not alter records in a way that falsifies a documented event trail. For example, we will not change a record of a late payment to “paid on time,” but we may add a note that the payment was received on a subsequent date.

7. No Adjudication of Disputes

This correction process is for undisputed factual errors only. RentFAX will not act as a judge or arbitrator in legal or personal disputes. If the accuracy of information is a matter of legal disagreement between a renter and a reporting party, that must be resolved through external legal channels.

8. No Guarantees

As stated in our Disclaimer & Risk Disclosure, RentFAX provides information “AS IS” and does not warrant the accuracy or completeness of any data on the platform. This policy provides a process for correction but does not guarantee a specific outcome.
